NAME: Adding Subfield $3 to Field 532 in the MARC 21 Bibliographic Format
SOURCE: National Library of Finland, Canadian Committee on Metadata Exchange (CCM), Online Audiovisual Catalogers (OLAC)
SUMMARY: This paper suggests adding new subfield $3 (Materials specified) in field 532 (Accessibility Note) in the MARC 21 Bibliographic Format to allow for expressing which part of the resource different 532 fields refer to.
KEYWORDS: Field 532 (BD); Accessibility Note (BD); Accessibility (BD); Subfield $3 in field 532 (BD), Materials specified (BD)
RELATED: 2017-DP03; 2018-03; 2022-DP01; 2022-DP07
STATUS/COMMENTS:
05/25/23 – Made available to the MARC community for discussion.
06/28/23 – Results of MARC Advisory Committee discussion: There was strong general support for the paper. In a straw poll, the committee voted in favor of processing the paper as a Fast-Track proposal. The paper was referred to the MARC Steering Group for final processing and approval as a Fast-Track proposal.
Field 532 (Accessibility Note) contains textual information describing the accessibility features, hazards, and deficiencies of a resource, including technical details relating to accessibility features. This field may be used to expand on or to qualify data in field 341 (Accessibility Content). Field 532 can be repeated if multiple notes on accessibility are required.
At present, each note applies to the entire resource. However, different parts of the resource may contain different accessibility features or deficiencies. Description of such features should be associated with the relevant part, in order not to mislead the user.
For instance, accessibility features of DVD and Blu-ray versions of a movie, published jointly in the same combo package, may differ from each other. A Blu-ray version may have subtitles for the deaf and hard of hearing (SDH) missing from the DVD version. Combo packages may also contain multiple movies or the same movie in different file formats. If so, captions, audio descriptions, etc. may vary from one film/version to another. In these cases, it is necessary to record the supported accessibility features separately for each film or version included in the package.
Field 532 (Accessibility Note) is currently defined in the MARC 21 Bibliographic Format as follows:
FIELD DEFINITION AND SCOPE
Textual information describing the accessibility features, hazards, and deficiencies of a resource, including technical details relating to accessibility features. This field may be used to expand on or to qualify data in field 341 (Accessibility Content).
The Accessibility Note in field 532 may describe only a part of a resource published in a combo package. Thus, there is a need for subfield $3 (Materials specified) in field 532 in order to describe the part of the resource to which the Accessibility Note applies.
Subfield $3 (Materials specified) is already available for several other fields, such as e.g., 341 (Accessibility Content), 381 (Other Distinguishing Characteristics of Work or Expression), 382 (Medium of Performance), 385 (Audience Characteristics), 387 (Representative Expression Characteristics), 506 (Restrictions on Access Note), 521 (Target Audience Note), 530 (Additional Physical Form Available Note), 538 (System Details Note), 540 (Terms Governing Use and Reproduction Note), 546 (Language Note), 561 (Ownership and Custodial History), among others. There is a need to add subfield $3 also to field 532.
In field 532 (Accessibility Note) of the MARC 21 Bibliographic Format, add subfield $3 as follows:

The existing BIBFRAME data conversion programs can accommodate the addition of $3 to a MARC field.
6.1. Has the need for defining subfield $3 (Materials specified) in field 532 (Accessiblity Note) been sufficiently demonstrated?
6.2. Is there a reason why subfield $3 should not be defined for the 532 field?
6.3. Are there any alternative format solutions to what is being proposed?
6.4. Are there other potential issues that need to be taken into account?
