NAME: Defining Subfield $7 in the 8XX Series Added Entry Fields in the MARC 21 Bibliographic Record

Proposal No. 2013-08: Defining a Control Subfield $7 in the Series Added Entry Fields

1. BACKGROUND

In German speaking countries a series is usually described in an equivalent to a MARC Bibliographic Record. The MARC Authority format is usually not used for series.

In addition, whenever a series has parts with separate textual, numerical or chronological designations, the parts are described using a field 490, and they are controlled using one of the fields 800, 810, 811, or 830.

A series can have different bibliographic levels:  It can be a multipart monograph, i.e. "intended to be completed, in a finite number of separate parts" (MARC Bibliographic Leader position 07 "m"); or it can be a continuing resource, or monographic series, i.e. a "bibliographic item issued in successive parts bearing numerical or chronological designations and intended to be continued indefinitely" (MARC Bibliographic Leader position 07 "s").

For a description of a part of a series, and a lossless conversion to and from MARC, there is a need to distinguish in the MARC record for the part whether the field in the group of 800-830 controls a multipart monograph, or a continuing resource/monographic series.

At the moment there is no MARC element containing this kind of information.

While it is true that the information exists in the leader of the linked bibliographic record for the series, there may be circumstances that it is not available, e.g. if the record for the part is imported before the record for the series.

In the Linking Entry Fields 76X-78X, there is a subfield $7 containing coded information that corresponds to coded information in the record that the field links to. This structure may serve as a model for a new subfield $7 to be defined in fields 800-830.

2. DISCUSSION

In the Linking Entry Fields 76X-78X  of the Bibliographic format, subfield $7 is defined as follows:

$7 - Control subfield
Up to four character positions (designated 0, 1, etc.) that indicate special characteristics of the linked entry. Because the definitions of the codes in subfield $7 are dependent on the character position in which they occur, the coding of any character position mandates that each preceding character position contains a code or the fill character (|); succeeding character positions need not be used. For example, if position 0 and 1 are not applicable but position 2 is applicable, then position 0 and 1 contain code n (Not applicable) or a fill character.

/0 - Type of main entry heading
Code indicating either the type of name contained in subfield $a or the uniform title in subfield $t. The codes correspond to the 1XX tag in the record for the related item: 100 (Main Entry-Personal Name), 110 (Main Entry-Corporate Name), 111 (Main Entry-Meeting Name), and 130 (Main Entry-Uniform Title). Code n is used when no other codes apply.

Code indicating the form of the name contained in subfield $a. The code corresponds to the value of the first indicator in the 1XX field in the record for the related item, and must thus be interpreted in conjunction with the value in position 0. If position 0 = p (Personal name), position 1 contains one of the following codes:

0 Forename
1 Surname
3 Family name

If position 0 = c (Corporate name) or m (Meeting name), position 1 contains one of the following codes:

0 Inverted name
1 Jurisdiction name
2 Name in direct order

If position 0 = u (Uniform title) or n (Not applicable), position 1 contains:

n Not applicable

There is one more field in the MARC Bibliographic Format with a control subfield $7 defined: field 533 "Reproduction note", where $7 contains positions and their codes corresponding to a selection of positions and their codes from the 008 field of the reproduction record.

As opposed to 76X-78X $7, the information about the type of main entry heading, and about the form of name is already expressed by the field number, and by the first indicator of the fields 800-830.

In the discussion during the meeting of the MARBI / MARC Advisory Committee in January 2013, it was stated that technically there is no need to have exactly the same structure in $7 of both field groups, because $7 is already defined differently in field 533.

Based on this, the proposed approach is the definition of a control subfield $7 in fields 800-830 with only two positions, position /0 for the Type of the related record, and position /1 for the Bibliographic level from Leader/07 of the related record:

$7 - Control subfield
