NAME: Coding 007 Field Positions for Digital Cartographic Materials in the MARC 21 Bibliographic and Holdings Formats

SUMMARY: This paper proposes adding a new value in position 04 and making some modifications to definitions in other positions in the 007 fixed field for maps in the MARC 21 Bibliographic and Holdings Formats to better accommodate digital cartographic resources.

Proposal No. 2018-01: Coding 007 Field Positions for Digital Cartographic Materials

1. BACKGROUND

Discussion Paper 2017-DP06, presented in June 2017, reviewed the coding of the positions in the Physical Description Fixed Field 007 for cartographic materials (007a-maps) as to their suitability to code for digital cartographic materials. This proposal follows up on the preferred options from that discussion paper. As with the discussion paper, this proposal is jointly prepared by CCM and MAGIRT.

2. DISCUSSION

To adequately describe digital cartographic resources in the 007a (Maps) fixed field, an additional value is proposed in one position, and editorial modifications are proposed for two more positions.

An additional value is proposed in the following position:

04 - Physical medium

Modifications to the definitions or value labels are proposed for these two positions:

01 - Specific material designation
06 - Production/reproduction details

As this field is identical in both the Bibliographic format and in the Holdings format, all changes proposed in this paper apply to both formats.

2.1. Revising the definition of position 01, Specific Material Designation

To better accommodate the broad range of digital cartographic resources that are included under General Material Designation value “a” (all cartographic materials except globes), the definition of Specific Material Designation position 01 needs to be reworded to avoid the implied exclusion of remote access digital cartographic resources. This can be accomplished simply by deleting the second sentence:

007/01 - Specific material designation
Special class of cartographic material to which the item belongs.
Usually the class of physical object, e.g., a diagram.

2.2. New value n (Not applicable) in position 04, Physical Medium

Position 04 for Physical medium is defined as “Material out of which the cartographic item is made”. The values cover a wide range of physical materials that could be used to make analog cartographic resources. While a remote access digital resource is ultimately stored on some medium which must be made of a physical material, the cataloger is in no position to know what the physical medium is, and furthermore, the digital resource may be migrated to new media over time without the cataloger’s knowledge. As a result, a coding of “not applicable” in this character position is proposed as being more relevant than resorting to using “u” (Unknown), “z” (Other) or a fill character. This would parallel the similar situation that resulted in the approval, in proposal 2016-01, of value “n” (Not applicable) in 007/10 (Kind of material) in 007s (Sound recordings) for remote access digital sound recordings.

Generally, code “n” is used to stand for “not applicable” in most fixed field positions. However, in position 007a/04 code “n” is currently defined to mean “Vellum”. Value “x” is unassigned and is proposed in its stead.

Following the pattern used in the definition of value n (Not applicable) in 007/10 (Kind of material) in 007s, the proposed definition for the new value “x” is as follows:

x - Not applicable
Physical medium is not applicable to remote digital cartographic resources because it pertains to characteristics specific to physical aspects of carriers.

2.3. Broadening position 06, Production/reproduction details

The values defined for position 06 (Production/reproduction details) cover a small list of specialized photographic production and reproduction techniques. A digital cartographic resource, whether made available by remote access or issued on CD-ROM or other medium, is produced or reproduced using a technique that is not represented by any of the specific values. It is an “other” technique, but not a photographic technique. Under the current definition of the position, the existing value “z” (Other) only applies to other photographic techniques.

By broadening the scope of the position by removing the restriction to photographic techniques, the existing value “z” (Other) can be interpreted as including “other” techniques that are not photographic in nature, without any modification to the definition of the value itself.

Production/reproduction details for which none of the other codes is appropriate.

The current definition of position 06 (Production/reproduction details) is:

“Photographic technique used to produce the cartographic item.”

The proposed revised definition, removing the word “photographic”, is:

Photographic tTechnique used to produce the cartographic item.”

To retain the existing intention of the other current values, the label and definition of value “c” needs to be modified to specify that it only applies to photographic pre-production proof copies.

In the existing record, the value of position 007/05 (Type of reproduction) is given as n (Not a reproduction). However, field 533 (Reproduction note) clearly indicates that the resource is a reproduction. As a result, the expected coding of 007/05 would be z (Other type of reproduction).

5.3. Change the definition of position 06 (Production/reproduction details) and rename and edit value c as follows:
